Terms Of Service
Last updated: 31 October 2026
These Terms of Service (“Terms”) apply to your use of the website and self-booking platform (together, the “Platform”) of Corporate Hotelstock Services Pvt. Ltd. (“CHS”), and to the hotel, serviced apartment, group and event bookings made through it or through our other channels. By registering for an account, logging in or making a booking, you agree to these Terms. Please read them together with our Privacy Policy and Payment Security pages. If your company has a separate written agreement with CHS, that agreement prevails over these Terms to the extent of any conflict.
About Our Services
1. Who We Are
CHS is a corporate accommodation solutions company. We help businesses book and manage hotel stays for their travellers, including individual stays, long stays, group bookings and meetings and events. CHS acts as a facilitator between you or your company and the hotels or other accommodation providers (“Hotels”). The stay itself is provided by the Hotel.
2. Accounts and Use of the Self-Booking Tool
The self-booking tool lets authorised users of our corporate clients search, book and manage hotel stays. By using it, you agree that:
(a) accounts are created for individual, authorised users of a corporate client. You will keep your login details confidential and will not share them;
(b) the information you give us, including traveller names and contact details, is accurate and complete, and names match the traveller’s government ID;
(c) you will book only for genuine travel that is permitted under your company’s travel policy;
(d) your company’s administrators are responsible for adding, changing and removing users, and for the bookings made under their company’s account; and
(e) CHS may suspend or close an account that is misused, that breaks these Terms, or that your company asks us to close.
3. Rates, Availability and Booking
Rates and availability shown on the Platform are those available at the time of your search, and they can change until your booking is confirmed. Prices are shown in Indian Rupees unless stated otherwise, with taxes as displayed. The inclusions (such as breakfast), the cancellation rules and any other conditions that apply to the rate you choose are shown before you confirm the booking. Please read them carefully, because they form part of your booking.
Payment Options
1. Online Card Payments
Visa, Mastercard and American Express card payments, and any other methods shown at checkout, are processed through an online payment gateway. You need not worry about your card information falling into the wrong hands, because your bank authorises the card transaction directly through the gateway, without your card details passing through or being stored by us. Your bank will issue an authorisation code and a confirmation that the transaction is complete.
CHS uses encryption (TLS) and other security measures to protect your information when you use the Platform. Transacting online through the Platform is designed to be at least as safe as using your card in person, because we do not retain your card information. See our Payment Security page for more detail.
If the payment on your card is declined or fails for some reason, alternate payment must reach CHS within the time shown on your booking, or before the Hotel’s payment deadline. Otherwise the booking is liable to be cancelled and the room released.
Unless your agreement with CHS says otherwise, CHS does not charge a separate fee for its hotel advisory, research and booking support. The price shown to you, plus applicable taxes, is the amount you pay. If any service fee applies, it will be shown before you confirm your booking or stated in your agreement with CHS.
2. Corporate Billing (Company Account)
Where CHS has agreed in writing to bill your company directly, bookings made by your company’s authorised users are invoiced to the company on the agreed credit terms. GST invoices are raised in the name and GST number that your company has given us, so please make sure these are correct at the time of onboarding or booking. Your company is responsible for paying the invoices on time. CHS may suspend bookings on the account if payments are overdue.
3. Pay at Hotel (Post Pay)
With some of our partner Hotels, CHS has negotiated a special facility where guests can pay the Hotel directly at reception at the time of check-in. Bookings that use this option are marked “Pay at Hotel” at the time of booking. The Hotel may ask for a card or a deposit as a guarantee at check-in. Personal extras such as room service, laundry, minibar and phone calls are settled directly with the Hotel, unless your company has arranged otherwise.
4. Refunds
In case of a no-show or an unused booking, you must request any valid and applicable refund, as per the rate’s cancellation rules, within 90 days from the date of check-in. No refund will be payable for requests made after 90 days from the date of check-in, and all unclaimed amounts for such no-show or unused bookings will be deemed to have been forfeited.
A refund is processed within 5 to 7 working days from the date CHS receives the Hotel’s confirmation of the cancellation. If we have received payment through a valid credit or debit card, the refund will be made to the same card. For bookings billed to a company account, the refund is made as a credit note or an adjustment against a later invoice. Payments made in any other way will be refunded by bank transfer to the originating account, within a maximum of 30 days. All refunds are subject to the Hotel or service provider processing the refund.
If CHS, with your consent, makes a refund to any mode other than the original source of your payment, and it suffers any claims, damages, costs, loss or expense as a result, you shall be liable to indemnify, hold harmless and make good CHS to the fullest extent possible. Further, CHS will not be liable for any loss you suffer from giving CHS wrong details for the purpose of refunds.
Transaction Confirmation
You should not take any action based on information on the Platform until you have received a confirmation of your booking. Confirmations are sent by email to the address on your account. If you do not receive a confirmation of your booking within the expected time, first look in your “spam” or “junk” folder to check that it has not been misdirected. If it is still not found, please contact our team on +91 11 42268433 or +91 98180 84527.
Delivery of Services
What is a booking confirmation?
A booking confirmation (also called a voucher) is an electronic document with a unique confirmation number, given to the guest in place of paperwork. Guests should show the confirmation number, on a phone or in print, together with a valid ID at the Hotel’s reception on arrival.
How will I get my booking confirmation?
Your booking confirmation will be sent to the email address provided by you at the time of booking. If you do not receive it promptly, and in any case before your check-in, please call our team on +91 98180 84527 or +91 11 42268433. CHS shall not be liable for the consequences if you do not receive the confirmation because the email address you gave was wrong, or if you do not inform us when it has not arrived.
Amendment and Cancellation Policy
Every booking is subject to the amendment and cancellation rules of the rate and the Hotel. These rules are shown before you confirm the booking and are repeated on your confirmation. Flexible rates can usually be amended or cancelled without charge until the deadline stated on the confirmation. Discounted or non-refundable rates may not be changed or refunded at all. Cancellations or changes requested after the deadline are charged as per the Hotel’s policy.
You can amend or cancel a booking from the My Bookings section of the Platform where the option is available. Otherwise, call CHS on +91 98180 84527 or +91 11 42268433, or email info@corporatehotelstock.com, as early as possible. Unless your agreement with CHS provides otherwise, CHS does not add a separate fee for amendments or cancellations, but the Hotel’s own charges apply. Please refer to the rate conditions shown for your booking while using CHS services.
Group, conference and event bookings are governed by the terms of the written proposal or Hotel contract agreed for that booking, including any deposit, cancellation schedule and reduction in numbers.
If a Hotel cannot honour a confirmed booking, for example because of overbooking or closure, CHS will make reasonable efforts to arrange comparable alternative accommodation or, where that is not possible, to arrange a refund.
Identification at Check-in
Hotels in India require every adult guest to present a valid government-issued photo ID at check-in. Foreign nationals must present their passport and a valid Indian visa, and Hotels are required by law to record and report these details. The Hotel may refuse check-in to a guest who cannot show valid ID, and no refund will be due in that case. When booking for a foreign national, please keep the following details handy:
Passport Details:
• Passport number
• Issuing country
• Date of birth (DD/MMM/YY)
• Gender
• Expiry date of passport (DD/MMM/YY)
• Last name / surname of traveller
• First name / given name of traveller
• Middle name of traveller (if any)
Visa Guidelines
For stays outside India, please carry a valid visa for the country you will be visiting or transiting through. Please check with the concerned embassy or consulate for all visa requirements. CHS does not provide visa services or advice on visa eligibility.
Hotel Rules and Guest Conduct
Guests must follow the Hotel’s rules and policies, including check-in and check-out times, occupancy limits, and any charges for damage or extra services. The Hotel may refuse entry to, or ask to leave, any guest who breaks its rules, and no refund will be due in that case.
CHS’s Role and Limits on Responsibility
CHS acts as a facilitator and not as the provider of the accommodation. The Hotels are responsible for the room, facilities, services and safety of their premises. To the extent the law allows, CHS is not liable for any act, omission or default of a Hotel or other third party, or for events beyond our reasonable control, such as natural disasters, strikes, government orders, pandemics, or power and network failures. To the extent the law allows, CHS’s total liability to you for any claim arising out of a booking is limited to the amount you paid to CHS for that booking. Nothing in these Terms limits any liability that cannot lawfully be limited.
Acceptable Use and Intellectual Property
You agree not to misuse the Platform. This includes making false or speculative bookings, using automated tools to extract rates or content, trying to gain unauthorised access to the Platform or to other users’ accounts, interfering with the Platform’s operation, or using it for any unlawful purpose. The Platform, its software, content and the CHS name and logo belong to CHS or its licensors. You are given a limited, non-transferable right to use the Platform for your company’s business travel, and you may not copy or reuse any part of it without our written permission.
Governing Law and Disputes
These Terms are governed by the laws of India. Subject to any dispute resolution process in your company’s agreement with CHS, the courts at New Delhi shall have exclusive jurisdiction over any dispute arising out of or in connection with these Terms or your use of the Platform.
Changes to these Terms
We may update these Terms from time to time. The updated Terms will be posted on the Platform with a new “last updated” date. Your continued use of the Platform after that date means you accept the updated Terms. Bookings already confirmed remain subject to the Terms in force when they were made.
