Privacy Policy

Last updated: 31 October 2026

Corporate Hotelstock Services Pvt. Ltd. (“CHS”) respects your privacy and recognises the need to protect the personal information you share with us (any information by which you can be identified, such as your name, work email address, phone number, company, designation or identity details). We follow appropriate standards to protect your privacy when you use our website, our self-booking platform and our other channels.

This Privacy Policy applies to every person who uses, intends to use, or enquires about the accommodation, group travel and events services made available by CHS (“User”). This includes employees and authorised travellers of our corporate clients, their HR, Admin, Travel Desk, Procurement and Finance teams, and visitors to our website. It applies to the CHS website and self-booking tool (together, the “Platform”) and to our offline channels, including phone, email, WhatsApp and our office (together, “Sales Channels”).

By using or accessing the Platform or any other Sales Channel, the User agrees to the terms of this Privacy Policy. If you disagree with this Privacy Policy, please do not use or access our Platform or other Sales Channels.

This Privacy Policy does not apply to the websites, mobile sites or apps of third parties, even if they are linked to our Platform. The privacy practices of CHS’s business partners, hotels, payment gateways and other sites to which CHS provides a link may be materially different from this Privacy Policy. We recommend that you review the privacy statements and policies of any such third parties.

CHS and Your Company

Most bookings on the Platform are made under a corporate account. Your employer (the “Client Company”) decides which people may use the Platform, sets the travel policy and rates that apply, and may nominate administrators (for example HR, Admin, Travel Desk, Procurement or Finance) who can view and manage the bookings made for the company’s travellers. CHS processes your information to deliver those bookings and the related billing and reporting. CHS also uses it for its own purposes of keeping accounts secure, preventing fraud and improving the Platform. Your employer’s own use of your information is governed by its own policies.

Information We Collect

When you use the Platform or deal with us for a booking, CHS collects the following information:

· Account and company details: name, work email address, phone number, company name, designation, department or employee ID (if your company uses one) and your login credentials.

· Traveller and guest details: name, gender, age or date of birth in the case of a child, and the names of any co-travellers or guests included in a booking.

· Booking details: destination, hotel, check-in and check-out dates, room preferences, special requests, and the cost centre or purpose of travel entered by you or your company.

· Identity documents: government photo ID details and, for foreign nationals, passport and Indian visa details, where a hotel is required by law to record them.

· Billing details: company name, billing address and GST number, and the payment status of your booking.

· Payment information: if you pay by card, you enter the card details on our payment gateway’s secure page. CHS does not store your full card number, expiry date or CVV.

· Technical data: IP address, device and browser type, pages viewed and actions taken on the Platform (see “Cookies and Session Data” below).

How the Information is Used

CHS does not sell or trade any of the information above. The information collected from users, customers and travellers is put to the following use:

· Traveller and guest names, contact details, travel dates and special requests are shared with the hotels and other accommodation providers you book (including those outside India, if you book them), so that your reservation can be made and confirmed.

· Identity document details are shared with a hotel only where needed to complete check-in and to meet the hotel’s legal reporting obligations.

· Card details are entered on the payment gateway’s secure page and processed by the gateway and your bank. CHS does not receive or store your full card details.

· Booking, billing and traveller details are used to issue confirmations and GST invoices, to provide customer support, and to prepare the spend and MIS reports that your company has asked for.

· Your company’s authorised administrators can see the bookings made for their organisation’s travellers, as this is the purpose of a corporate travel programme.

· Account, device and usage data are used to keep your account secure, prevent fraud and misuse, fix problems and improve the Platform.

· Your work email address and phone number are used to send you service messages about your bookings (confirmations, changes and reminders). Unless you opt out, they may also be used to share news and offers about CHS services. You can opt out of marketing at any time using the unsubscribe link in the message or by writing to us. Service messages about your bookings will continue.

· Details of a child are collected only from a parent, guardian or the adult making the booking, and are used only to make the reservation.

We process your personal information with your consent, or for other purposes that the law permits, such as carrying out the booking you asked for and meeting our legal and tax obligations. You may withdraw your consent at any time. Withdrawing consent does not affect processing already carried out, and it may mean that we can no longer provide some services to you.

If you choose not to share this information, you can still visit the CHS website, but you may be unable to use the self-booking tool or certain services.

Cookies and Session Data

In general, you can visit the CHS website without telling us who you are or revealing any personal information about yourself. We track the Internet address of the domains from which people visit us and analyse this data for trends and statistics, but the individual user remains anonymous.

The Platform uses “cookies” to keep you logged in, to remember your preferences and to keep your session secure. Cookies are identifiers which websites send to the browser on your computer to recognise it on your next visit. You can set your browser to notify you when you are sent a cookie, giving you the option to decide whether or not to accept it. If you block the cookies that the Platform needs to function, you may not be able to log in or complete a booking. The information we collect and analyse is used to improve our service to you.

Automatic Logging of Session Data:

Each time you access the Platform, your session data is logged. Session data consists of the User’s IP address, operating system, the type of browser software being used and the activities conducted by the User while on the Platform. We collect session data because it helps us analyse User’s choices and browsing pattern, including the frequency of visits and the duration for which a User is logged on. It also helps us diagnose problems with our servers, detect misuse and better administer our systems. The aforesaid information cannot identify any User personally. However, it is possible to determine a User’s Internet Service Provider (ISP) and the approximate geographic location of the User’s point of connectivity from the IP address.

With whom your Personal Information is Shared

CHS has a long-standing commitment to protecting the personal information of its customers and prospective customers. This section explains how we share your personal information with others.

Hotels and Accommodation Providers

To make and confirm a reservation, we share the necessary traveller and booking details with the hotel, serviced apartment or other accommodation provider concerned, and with the booking sources we use to reach their inventory. These providers handle your information under their own privacy practices.

Your Company

We share booking details, billing information and MIS reports with your Client Company, as described in “CHS and Your Company” above.

Companies Who Provide Services To Us

In some cases we contract with other companies to perform services for us. Examples include payment gateways and banks, technology and hosting providers, email, SMS and WhatsApp messaging services, customer support tools, and accounting and audit services. We provide them only with such information about you as they need to perform their services, but we impose strict requirements of security and confidentiality on them in how they handle your personal information. They are not permitted to use information about you for any purpose except to perform the services we have asked them to provide.

Our Business Partners

We may send you offers by email or other direct marketing methods about products and services offered by CHS or our business partners. When we do this, we keep control over your information, and it is not disclosed to our business partners unless you or your company have expressly authorised us to do so or you take advantage of their offer.

IMPORTANT NOTE: Please note that we do not give your email address to our business partners for their own marketing. If you take advantage of an offer from a CHS business partner and become their customer, they may independently wish to send offers to you. In this case, you will need to inform them separately if you do not wish to receive future offers from them. In all cases our goal is to deliver offers to people who we believe will find them of value. Our communications are developed and managed under strict conditions designed to safeguard the security and privacy of customer personal information.

Other Disclosure of Information

In all other cases, we will not disclose your personal information unless you have been previously informed or have authorised us to do so, or if we are required to do so by law. If an order of a court or government authority requires us to disclose information about you, we will do our best to notify you promptly, to give you an opportunity to exercise your legal rights. The only exceptions to this policy are when the order or law prohibits us from notifying you or when there is suspicion of fraud or criminal activity.

How Long We Keep Your Information

We keep your personal information for as long as we have a legitimate purpose to do so and in accordance with applicable law. This includes keeping booking, invoice and payment records for the periods required by tax, GST and accounting laws, and for as long as needed to assist with legal obligations, resolve disputes and enforce our agreements. Even after your account is closed or your company stops using the Platform, we may retain and disclose such data in line with this Privacy Policy. When we no longer need it, we delete it or remove the details that identify you.

Disclosure of Information

We may, in good faith, disclose your personal information, without notice to you where the law allows, to protect ourselves or others from liability or fraud or similar situations, to respond to judicial processes and legitimate requests from law enforcement or other authorities, to investigate fraud or other wrongdoing, or as otherwise required or necessary to comply with applicable law or to protect our legitimate interests or those of users. We may also disclose personal information if it is reasonably necessary in our opinion to protect the rights or property of CHS or any of its affiliates or any third party, or to avoid injury to any person.

A user’s personal information may be disclosed for regulatory or internal compliance and audit purposes.

Your Rights and Choices

Subject to applicable law, you may ask us to give you a summary of the personal information we hold about you and the parties we have shared it with, to correct or update information that is inaccurate or incomplete, to delete information we no longer need, and to withdraw your consent. You may also nominate another person to exercise these rights on your behalf if you are unable to do so. To make a request, write to us at the contact details below. If your account was created by your company, we may need to involve your company’s administrators to act on your request.

Security

CHS takes appropriate steps to protect the information you share with us. We have implemented technology and security features and strict policy guidelines to safeguard the privacy of your personal information from unauthorised access and improper use or disclosure. These include encryption of information in transit between your browser and our systems and restricting access to booking and billing records to authorised people. No system can be guaranteed to be completely secure. If a breach affects your personal information, we will inform you and the authorities as required by law. CHS will continue to enhance its security procedures as new technology becomes available and ensures that its security procedures are compliant with current applicable regulations.
